The Regional Administrative Coordinator position is responsible for:
Administrative support functions for the remotely assigned Regional Operations Managers
Ensuring that regional operating and administrative objectives are met
Coordinating assignments with other administrative personnel in both the field and corporate office.Primary Duties/Responsibilities:
Coordinates phone calls and other communications to include managing team calls by sending out agendas, typing recap notes, and ensuring close out of action items
Supports administrative tasks with onboarding new service operations team members by requesting system access, ordering necessary hardware and keeping a proactive line of communication open with the hiring manager.
Coordinates the planning and execution of regional and district meetings, and provides support at National Meetings; Serves as a liaison between the region staff and Corporate Meeting and Planning to ensure the timely and accurate submission of meeting paperwork
Works with the Regional Operations Managers and occasionally with the VP of Service Operations to create, consolidate, and submit weekly, monthly, and quarterly reports to include the Weekly Field Service Report, Repair Order submissions, Reward & Recognition submissions, Customer Implementation details, and State of the District details as well as help prepare documents, worksheets, and presentations as necessary
Assists the Finance department by recording journal entries, reviewing 3rd party invoices and providing additional support and data entry as requested.
Purchase and maintain office and facility supplies for the managers and service offices at their request to include office equipment, janitorial supplies and paper goods, postage and mailing supplies, refreshments, forms, and miscellaneous literature
Serves as the primary interface between the region and corporate departments to ensure proper information flow; routes calls, questions, paperwork, and concerns as appropriate
Position Qualification Requirements: Basic Qualifications:
High School Diploma or equivalent
At least 5 years administrative support experience, including supporting executive staff
Experience with Microsoft Office applications including: Word, Excel, PowerPoint, Visio, & Outlook
Other Position Qualifications: In addition to the basic qualifications listed above, the following other position qualifications are required:
Experience providing administrative support
Experience in assisting in daily administration of details and special projects
Experience in maintaining files and paperwork
Demonstrated presentation and communication skills
Demonstrated organizational and problem-solving skills
Ability to maintain confidentiality and discretion in business relationships and exercise sound business judgment
Ability to deal with all employees and external business contacts while conveying a positive, service-oriented attitude
Ability to travel <15% annually (within the US) with advanced notice.
